CRM - Companies, Contacts & Contact Notes

The Company page manages all connections to Contacts and Contacts Notes.

 

Overview
The Company and Contacts tables store "company" and "people" data, respectively. Company names are considered unique based on Last Name, First Name or if none, the Company Name, and then City, State and Zip, which are displayed in the Navigator.

The Main Email Field

On your Company form just above the Phone fields you will see a field called "Main Email Address".  This field should store the default Company or household email domain name in this format:  @domainName.com.

 

This field supports two very important functions:  The first is that it supplies the default address for new contacts that you add when you click the "New" button on the Contacts toolbar; all you have to do is enter the person's name in front of the @domainName.com text, which eliminates typos in email addresses.

 

The second function is to assist the 'Import from Outlook' function (click here for details) by matching the selected email(s) address with the value in this field so that you don't have to manually select which company to link to the imported the contact note.

Contacts
You can add as many contacts for each company as you like, using the Contacts tab at the bottom of the Company form.

When saving a Company record, if the Primary Contact is not already listed in Contacts, the 'Add New Contact' dialog will prompt the user with the Primary Contact information. Add more information into the Contact fields, then click 'Save' to save the Contact.

Contact Notes
Contact Notes are used to document meetings, phone calls, emails and other contact with each Contact person. The "Email Toolbar" on the Company form opens an Outlook toolbar that supports exporting emails directly into Contact Notes without having to key or copy/paste the information.
