You can attach any type of file to any record in the database, or
use the FileKeeper utility on the Home page to include other files
that are not directly related to any other data.
Overview
The Attachments dialog stores file attachments that are associated
to a single record. Clicking the 'Attachments' button on the Toolbar
opens the Attachments window.
The Attachments Toolbar
The toolbar on the Attachments dialog has these functions:
Add - Clicking this button opens a browse dialog where you
can select the file to attach. Any type of file can be chosen. When
you click 'Save', you'll be prompted for the Description; enter a
short description and click 'OK'. The new file will appear in the
list.
Edit/Reattach - Click on an attachment record in the grid,
then click this button to open the file for editing (you can also
double-click on the item in the grid to edit it). When you're
finished editing the file in it's native application, save your
changes like you normally would, then close the file and the
'Reattach' button will be enabled. Click it to automatically
re-attach the file with your changes. NOTE: If you try to close the
Attachments dialog and have not re-attached an edited file, you'll
be prompted to do so so you do not lose any changes you may have
made. If you choose to NOT re-attach the file, any changes you made
will be lost.
Scan Image - If you have a TWAIN-compliant scanner attached
to your computer you can click this button to add the file directly
from your scanner as a .JPG image. This also works if you have a
TWAIN-compliant digital camera connected to your computer; you can
pull pictures directly from the camera' storage device. Click the
button, then click the 'Select Scanner' menu option and pick your
scanner or camera from the list to setup the option. Then click the
button again and choose 'Scan Image' to use the scanner's software
to get the image.
Delete - This button deletes the attachment; there is NO
undelete for attachments, so use this with caution.
Open - This button opens the file attachment in its native
application for viewing, but does not track any changes you may make
to the open file. If you want to edit the file, click the 'Edit'
button instead.
Print - This prints the attachment using its native
application Print functionality without displaying the attached
file. This print option prints the entire file. If you need to print
only a part of the file, by page numbers or by selecting a section
to print (like in a spreadsheet), click the 'Open' button instead
and use the application's print features to do so.
Detach - This saves a copy of the file to a location that you
can select. Use the browse dialog to locate the folder where you
want to save the file. You can also change the filename by entering
a new name in the 'Filename' box before clicking 'Save'. Detaching a
file does NOT remove it from the Attachments table, as the detached
file is a copy.
